Position Overview

The Program Management Assistant supports project coordination and program implementation, focusing on logistics, documentation, vendor management, and materials creation to ensure successful program delivery.

Key Responsibilities

  • Coordinate logistics for meetings, trainings, workshops, and coalition events
  • Organize and maintain project files, strategic documents, and program materials
  • Support vendor contract processing and documentation
  • Create program materials, presentations, and supporting documentation
  • Maintain project timelines and deadline tracking across multiple workstreams
  • Provide data management and reporting support for program metrics
  • Process program-related documents and maintain filing systems
  • Support program compliance activities including 501(c)3 and 501(c)4 requirements
  • Assist with program evaluation and reporting activities

Required Qualifications

Education & Experience

  • Bachelor's degree in any field, or equivalent combination of education and experience
  • Minimum 3-4 years of program coordination, project support, and/or campaign experience
  • Basic understanding of 501(c)3 and 501(c)4 and PAC compliance
  • Demonstrated experience in program support and coordination activities

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Database management experience with data entry, analysis, and reporting
  • Basic understanding of project management principles and tools
  • Experience with document creation and materials development

Interpersonal Skills

  • Collaborative approach to working with program teams and vendors
  • Adaptability to changing program priorities and requirements
  • Confidentiality in handling sensitive program information
  • Professional judgment in program-related decision-making

Nice to Have Qualifications

  • 3+ years of program coordination or project management experience
  • Experience in nonprofit, government, or educational program settings
  • Advanced Excel skills (pivot tables, formulas, data analysis)
  • Experience with project management software (Asana, Trello, Monday.com)
  • Vendor management and contract processing experience
  • Program evaluation and reporting experience


Compensation

  • $70,000-$80,000 depending on experience
  • Benefits included
  • Remote with DC Preference
